Smart Scheduler: AI-Powered Resource Scheduling and Utilisation
In this video, Louwis Venter from Wild Tech demonstrates Smart Scheduler, the latest invention from the Wild Tech innovation hub. Built for professional services organisations that have outgrown whiteboard-style resource planning, Smart Scheduler uses AI to match people to projects, automate allocations, and track utilisation across regions, technologies, and skill sets, turning hours of manual scheduling into minutes.

Key learnings:

  • AI allocation from roles, skills, and CVs: Smart Scheduler builds a skills profile for every resource by ingesting their CV and marrying it up with industry experience and related skills. The AI does the grunt work up front. When a project is ingested (from your CRM, ERP, or a simple upload), the AI reads the phases, budgets, and required roles, then allocates the best-matched people automatically. The allocation logic is fully definable, down to a custom prompt per project, so a tester is never booked before development is done.
  • One interactive board for planned and confirmed time: Project and resource views show planned versus locked-in schedules side by side, with colour coding for non-billable, sales, R&D, training, admin, and leave. Project managers approve time to control spend and burn rate, drag bookings between resources on the interactive board, and get automatic notifications when a project is over budget or a person is over-resourced.
  • From timesheets to forward-looking utilisation: Approved allocations flow straight into each person’s timesheet for customer sign-off, and posted entries update the project schedule in real time. The result is a forward and backward view of utilisation: burn on every project, billable versus R&D and admin time, and department-level tracking, with a deep analysis available in seconds. For distributed teams, the AI will even find an available person with the right skills in another division before you go and hire someone else.

BuildBot 2.0: Turn Builder Drawings into Instant BOM Quotes

In this video, Louwis Venter from Wild Tech introduces BuildBot 2.0, an AI-powered solution designed to automate sales takeoffs from architectural drawings, replacing manual product identification and quoting with an intelligent, step-by-step workflow.

Key learnings:

  • Drag-and-drop document ingestion with intelligent page classification: BuildBot ingests architectural drawings and automatically classifies pages (floor plans, elevation views, etc.) to identify which are relevant for the takeoff — no manual navigation of large multi-page documents required. Results are presented to the user for confirmation before proceeding.
  • Floor plan and room identification: Using multimodal image recognition, BuildBot locates and highlights the floor plan within the document, then identifies and labels individual rooms. Rooms serve as the spatial anchor for associating windows and doors to specific areas.
  • AI-powered product detection with human correction: BuildBot scans the floor plan to detect windows and doors using image recognition. Users can review detections, correct errors (e.g. reclassifying a garage door as not a window), and the system learns from those corrections over time — keeping humans in control at every step.
  • ERP product matching: Detected items are automatically cross-referenced against the company’s ERP product catalogue. BuildBot associates each window or door with the matching product (including name, code, dimensions, colour, and energy rating), surfacing gaps where no match exists.
  • Customisable report and bill of materials export: The completed takeoff can be downloaded as a report containing product specs (name, code, dimensions, colour, and energy rating). The report is highly customisable and can be extended to include full pricing, product pictures, and terms and conditions — ready to use as a bill of materials for quoting.

TenderBot 2.0: Streamlining RFP Responses with AI and Workflow Automation
In this video, Louwis Venter from Wild Tech introduces TenderBot 2.0, an AI-powered solution designed to simplify and accelerate responses to tenders and RFPs, combining AI-generated answers, reusable “golden responses”, and built-in workflows to improve speed, consistency and control.

    Key learnings:

    • From RFP ingestion to structured response in minutes: TenderBot ingests RFP documents, automatically identifies sections, and preserves structure so users can begin responding immediately without manual setup.
    • AI-generated answers with “golden response” validation: Each question is supported by both AI-generated answers and pre-approved “golden responses”, allowing users to validate outputs while maintaining consistency.
    • Built-in workflows and collaboration: Users can assign sections or questions to team members, enabling structured collaboration with notifications and a simplified response interface.
    • Customisable knowledge base and AI configuration:  TenderBot draws on a central knowledge base and configurable AI settings to ensure responses align with organisational standards and content.
    • Export-ready outputs aligned to your templates: Completed responses can be exported into formatted Word documents, aligned to existing RFP templates and ready for submission.

Selena: Accelerating Laptop Quotes with AI-Powered Copilot Studio
In this video, Jon Lawrence, Lead Consultant at Wild Tech for Microsoft Dynamics 365 and the Power Platform, introduces Selena, an AI-powered CPQ agent built with Copilot Studio. Designed to streamline laptop quoting, Selena uses natural language prompts, integrates with Microsoft Teams, and draws on SharePoint data to simplify and accelerate Configure, Price, Quote (CPQ) workflows.

    Key learnings:

    • From chat prompt to quote in minutes: Using natural language, users tell Selena what they need in a laptop, outlining specs like CPU, memory, budget, or screen size. Selena instantly scans thousands of entries in a SharePoint list, filters options based on those preferences, and returns best-fit matches, saving hours of manual effort.
    • AI-powered quotes with built-in guardrails: Once a match is selected, Selena auto-generates a formal quote with branding, specifications, pricing, and GST. Quotes are flagged as AI-generated and routed to a human for validation. This ensures accuracy and reduces the risk of pricing errors before final approval.
    • Embedded in Teams, connected to CPQ: Hosted directly within Microsoft Teams, Selena makes AI-enhanced CPQ part of everyday business tools. Pre-set prompts or freeform inputs guide users through quoting without needing to leave their workflow or learn new software.

Contract Analysis Tool: Extract Obligations from Contracts, Ready to Act on

In this video, Louwis Venter from Wild Tech introduces the Contract Analysis Tool, an AI-powered solution designed to scan large volumes of contracts for specific clauses and conditions, helping organisations quickly assess their contractual risk exposure.

    Key learnings:

    • Bulk contract ingestion: Users drop in multiple contracts at once; the tool rapidly ingests and processes them all, extracting key metadata including contract names, customer information, and contract types.
    • Multimodal clause and condition detection: Using a multimodal AI approach, the tool scans each contract for specific clauses or conditions — such as price variation or fluctuation clauses — and surfaces relevant findings in a structured, readable format.
    • Risk and exposure analysis: For each contract, the tool calculates a risk profile and confidence levels, helping organisations understand their exposure — for example, identifying which supply contracts are vulnerable to fuel price increases and where pricing cannot be renegotiated.
    • Natural language search and customisation: Users can use natural language to tweak conditions, add or remove information, and adjust how results are rendered — including visual graphs — without needing technical configuration.
    • Contract drill-down and explanation: Users can click into any individual contract to retrieve specific clauses (e.g. termination clauses), view the AI’s risk assessment, and understand how confidence levels were determined — providing full transparency into how the tool reached its conclusions.
